Continuing our AGM Insider series where we go behind the scenes to find out what's involved in our key Committee roles, lets find out more about a day in the life of our Conference Coordinator.

I have LOVED bringing conferences to our members. Now though it is time for a change! We are looking at bringing a new look and different delivery. Bringing herbal medicine to the forefront and changing the format so we can offer our members a Conference experience that will make them relook at plant medicine on all levels. So conversations, ideas and decisions are flowing with some exciting new plans being considered. It's fun and inspiring to be part of developing a new project to bring our members together and celebrate our herbal artistry.

Continuing our AGM Insider series where we go behind the scenes to find out what's involved in our key Committee roles, lets find out more about a day in the life of our Minutes Secretary.

Liala says, My role is really a communication and logistics liaison for the committee regarding meetings.

Usually I check secretary emails once or twice weekly. I remind the committee when meetings are coming up and what they need in preparation. I send reminders for subcommittee reports and discussion items for the meeting agenda and collate this info so the committee has access to the relevant documents and are loaded and ready when the meeting rocks around.

My main role is to keep the minutes during the committee meetings, these are later checked by all committee members ensuring they are an accurate record. We have committee meetings every 2-3 months depending on what's happening.

The meetings are a real opportunity to see how much is going on in service of our members and medical herbalism, and they're punctuated by robust discussions and lots of laughter!

I also oversee the secretary drive and file documents for future use by successive committees regarding policy and procedure, and other logistical documents.
Being computer savvy helps in this role, as does inherent organisation and a vague grasp of Google Drive (this can be built upon!)

We're going behind the scenes to find out what's involved in our key Committee roles. Next up in our AGM Insider series is a day in the life of our President. 🌿

Balancing the NZAMH governance workstreams with a day job and family commitments is entirely doable. I’ve found that establishing a steady weekly cadence is the secret to balancing it effectively.

Like many governance positions, our work runs on a cycle of committee meetings where key discussions and decisions are made. Because every week brings something slightly different, no two days are ever truly the same.

Generally, I check and respond to emails first thing in the morning and again at the end of my regular workday, addressing anything urgent. This might involve catching up with a committee member, connecting with a sub-committee convenor, or setting up a meeting with someone from an external organization.

Two evenings a week are focused on deeper work: reviewing notes, tracking progress on action items, and following up on ongoing tasks.

One evening or part of a weekend is dedicated to project work. This may include reviewing official communications to the government or external organizations, or proof reading internal policy documents.

Every six weeks or so, I have the privilege of chairing the full committee meeting. Supported by our secretary who beautifully manages the meeting agenda, my role is to guide the discussion, ensure every key topic gets a fair allocation of time, and help steer the conversation toward clear decisions and actions. It is also a fantastic opportunity to see the incredible work our sub-committees are driving forward.

Hands down, the most rewarding part of this role is witnessing the tangible progress that comes from our committee members' quiet dedication. Some of the workstreams currently delivering major benefits for our members have been in development for months or even years. Seeing that hard work come to fruition is incredibly heartening.

At its core, the President’s role is about supporting the people on the committee. While prior governance experience is a plus, it is absolutely something you can learn quickly on the job.

If you love NZAMH, care deeply about our members, and are highly organized, this role is for you.

Continuing our AGM Insider series where we go behind the scenes to find out what's involved in our key Committee roles. Lets peek behind the curtain to find out more about a day in the life of our Communications Convenor. That's me! 😉

A day in the life of the Communications Convenor is really a collage of moments across the month. You get to help shape the voice of NZAMH, sharing the warmth, knowledge and connection that sits at the heart of our community.

Some days that might mean planning ahead with the communications calendar and thinking about what stories, herbs, events or seasonal moments are coming up. Some days it looks like reaching out to members and committees, gathering stories and updates, and hearing about the wonderful work happening across NZAMH. You get to help turn those moments into something others can see and enjoy.

You get to create posts for Facebook, put together simple and beautiful graphics in Canva, and help promote events and initiatives such as the NZAMH conference. There is a creative side to the role, but also a gentle organising side - keeping track of ideas in the calendar, making space for what matters, and helping communications flow steadily through the year.

You also get to support the newsletter editor by creating beautiful images and helping make sure members feel informed, included and connected. It’s about sharing what’s happening, celebrating the people who make the NZAMH special, and helping members see the life and energy of the NZAMH.

One of the loveliest parts of the role is the unseen reward. You get to hear about people’s work, notice the energy and care behind the scenes, and help those stories reach others. Small things can make a real difference. A post, an update, a shared photo, or cheering practitioners on in their business when they say yes to being featured in our Meet Our Members series - all of it helps strengthen connection.

It’s a role that offers room for creativity, contribution and heart. You do what you can, and everything is welcome.

This role is available for election at the AGM in July. It's a role that could be divided up into a series of favourite parts so please do reach out if there's something that you'd like to do.
