Whether you’re reaching out for guidance, research, an observership, collaboration, or simply seeking advice, the way you approach someone can make a huge difference.

🔹Start with a professional greeting. A simple “Hello Dr. (Last Name),” or “Dear Dr. (Last Name),” followed by “I hope you are doing well” sets the right tone.

🔹Introduce yourself briefly. Mention your name, where you graduated from (or where you’re currently working/studying), and one line about your current goal. This gives the other person context about who you are.

🔹State your purpose clearly. Get to the point respectfully. Explain why you’re reaching out and what you’re requesting. Avoid sending vague messages like “Hi” or “Can I ask you something?”

🔹Be respectful of their time. Keep your message concise and easy to read. Most busy physicians don’t have time to read long paragraphs.

🔹Use polite language. Phrases like “I would be grateful,” “I would sincerely appreciate your guidance,” or “This is a kind request” reflect professionalism and humility. Remember, the other person is not obligated to do you a favor.

🔹Whenever possible, use email or LinkedIn for professional communication. However, if you’re reaching out through Instagram or another social media platform, your message should still be just as professional.

🔹If you don’t receive a reply, don’t take it personally. Most physicians are willing to help, but they simply cannot respond to everyone. A polite follow-up after 7–10 days is reasonable, but avoid sending repeated messages.

🔹Always end by thanking them for their time, regardless of whether they respond or not. Gratitude leaves a lasting impression.

Small things like these can make a huge difference. Unfortunately, we’re rarely taught professional communication in medical school, but learning it can open many doors throughout your career.
