We are seeking an experienced and motivated Senior Receptionist / Reception Coordinator to join our team on a part-time basis.
This position plays an important role in the smooth day-to-day operation of our medical clinics. The successful candidate will help ensure that every patient receives a professional, welcoming and supportive experience from the moment they enter the practice.
You will work across our Hunter Region practice network and may be required to attend any of our clinic locations as reasonably directed.

Your responsibilities will include:
Greeting and checking in patients in a warm and professional manner.
Managing the waiting room and supporting a positive patient experience.
Coordinating appointment bookings, cancellations and scheduling across the practice network.
Responding to patient enquiries in person, over the phone and by email in an efficient and courteous manner.
Processing Medicare, Department of Veteransโ Affairs (DVA) and private billing accurately and within the required timeframes.
Maintaining accurate and up-to-date patient records in the practice management system.
Providing daily guidance and support to junior reception staff.
Acting as a point of escalation for complex patient enquiries or administrative matters.
Assisting with staff rostering and reception coverage across clinic locations.
Following all employer policies, privacy legislation and workplace procedures.
Completing accurate timesheets and time-recording requirements.
Supporting the Practice Manager with administrative and operational duties as required.
About You
๐๐จ ๐๐ ๐ฌ๐ฎ๐ข๐ญ๐๐๐ฅ๐ ๐๐จ๐ซ ๐ญ๐ก๐ข๐ฌ ๐ซ๐จ๐ฅ๐, ๐ฒ๐จ๐ฎ ๐ฌ๐ก๐จ๐ฎ๐ฅ๐ ๐ก๐๐ฏ๐:
Demonstrated experience in a medical reception or healthcare administration position.
Familiarity with medical practice management software, such as Best Practice.
Strong written and verbal communication skills.
Excellent interpersonal skills and a professional, courteous manner.
Proven experience leading, supporting or mentoring junior team members.
A high level of discretion and a clear understanding of patient confidentiality obligations.
The ability to work independently and collaborate effectively within a multi-site team.
The flexibility to work across multiple clinic locations in the Hunter Region when required.
A legal entitlement to work in Australia.
