A support coordinator just referred you a participant. Your phone rings and you’ve got maybe one shot before they call the next provider on the list.
This is where most providers lose the business - not because their service is worse, but because they waste the first call pitching instead of listening.
Support coordinator referrals move fast. The family or participant is often stressed, comparing 2-3 providers in the same week, sometimes the same day and deciding based on who made them feel understood first - not who had the longest service list.
So when that call comes in, don’t open with what you offer. Open with focus on the
most urgent thing right now.
Listen for the real issue - a support gap starting Monday, a bad experience with the last provider, a family member who’s exhausted. Reflect it back before you pitch anything: “So the biggest issue last time was no-shows — that’s what we’d fix first.”
Then move fast. Confirm next steps on that call. A same-day response and a clear next step often wins the business before a “better” provider even calls back.
Referrals are won or lost in the first conversation and the first 24 hours. Speed + being understood beats the perfect service list every time. 🙌
