Senior Receptionist / 2IC (Second-in-Charge) – Medical Centre

We are seeking an experienced and motivated Senior Receptionist / Second-in-Charge (2IC) to support the day-to-day operations of our busy Mixed Billing Medical Centre in Lakelands . This role is ideal for an experienced medical receptionist who is ready to take the next step in their career and work closely with the Practice Manager in a leadership capacity.
About the Role
As the Senior Receptionist / 2IC, you will play a key role in supporting the Practice Manager with the efficient operation of the medical centre. You will provide leadership to the reception team, ensure outstanding customer service, and help maintain smooth clinic operations.
In the absence of the Practice Manager, you will assume responsibility for the day-to-day management of the centre, ensuring staff are supported and operational standards are maintained.
Key Responsibilities
• Support the Practice Manager with daily clinic operations
• Assist in the supervision, direction, and development of reception staff
• Coordinate and oversee reception workflows and patient services
• Act as an escalation point for patient concerns and complaints
• Provide exceptional customer service to patients and healthcare professionals
• Assist with staff rostering, training, and performance management
• Support the management of the centre's financial performance and administrative processes
• Ensure compliance with practice policies, procedures, and accreditation requirements
• Maintain a professional, welcoming, and efficient front-desk environment
About You
To be successful in this role, you will have:
• Previous experience working in a general medical practice
• Experience in a senior reception, team leader, or practice administration role
• Excellent communication and interpersonal skills
• Strong leadership and people management abilities
• Proven problem-solving and conflict-resolution skills
• Exceptional organisational and time management skills
• Ability to multitask and perform effectively in a fast-paced environment
• High attention to detail and commitment to quality patient care
Desirable Qualifications & Experience
• Experience using Best Practice software
• Previous medical practice management or supervisory experience
• Current CPR and/or First Aid Certificate
• Understanding of Medicare billing and practice administration processes
