The Practice Manager plays a crucial role in ensuring that our practice operates with a strong focus on people—both our clients and our team. This role requires someone who is not only skilled in managing the day-to-day operations at a fast pace but also deeply committed to upholding our practice’s values of respect and care for all persons, integrity and ethical care. The ideal candidate will be a compassionate leader who excels at building relationships, supporting staff, and ensuring that our practice remains a place where clients feel safe and valued.
Full time or part time options are available.
Main responsibilities:
- Lead with empathy and integrity, fostering a positive and inclusive work environment.
- Support and mentor administrative staff, promoting a culture of collaboration, respect, and continuous growth.
- Work closely with clinical staff to ensure that client care is always at the forefront of our operations.
- Handle financial processes with transparency and fairness, ensuring ethical management of billing, payroll, and other financial tasks.
- Maintain client confidentiality and staff privacy at all times.
- Develop and implement practices that prioritise the well-being of both clients and staff.
- Address client inquiries and concerns with compassion, ensuring they feel heard and respected.
- Uphold and promote the practice’s values and ethical standards in all aspects of management.
- Support the mental health and well-being of staff, offering resources and encouragement as needed.
- Develop, maintain and review policy and procedures and administrative processes of the practice
- Work closely with the Director around all aspects of the business and future planning.
- Flexibility to take direction and ad hoc tasks assigned by the Director.
Selection Criteria:
- Minimum of 2 years’ experience in a management role, ideally within a mental health or medical setting.
- Demonstrated ability to supervise, support and develop staff and promote teamwork
- Demonstrated ability to work with people of diverse backgrounds and a desire to contribute positively to the lives of people with mental health conditions.
- Demonstrated understanding and commitment to ethical practices and confidentiality within a professional setting.
- Excellent communication and interpersonal skills, with the ability to work with staff, clients and external stakeholders.
- Experience in creating and maintaining a positive workplace culture and promoting wellbeing of staff.
- Proficient in using computer and cloud-based programs is essential.
- Demonstrated skills in problem solving, ability to prioritise and work independently
- Attention to detail and understanding of how to create and evaluate administrative processes.
- Understanding of work health and safety legislation and principles, ensuring compliance with relevant award conditions and national employment standards.
- Knowledge of basic financial management principles, budgeting, and strategic planning.
Desirable:
- Experience working in medical, psychology, and or allied health related fields.
- Knowledge of healthcare regulations, including Medicare and AHPRA, with a focus on ethical compliance.
- Sound working knowledge of Xero, practice management or other administrative software.
Successful applicants must have a current Working with Children Check and National Police background check prior to commencement.
