Some of your best business ideas might come from someone who'll never be your customer.

Two days at the Wandin Silvan Field Days, surrounded by local businesses, familiar faces and plenty of conversations about what it's really like running a small business.

I was there representing Yarra Valley Business , catching up with members and meeting business owners from across the community.

And I loved hearing what everyone's working on, what's challenging them and what they're trying to figure out.

It's funny how a quick chat can get you thinking about your own business in a completely different way.

That's what I love about networking. You never quite know what you'll learn or who you'll meet.

There's so much we can learn from each other.

You're halfway through a job and the phone rings. It's your next customer wanting to know what time you'll be arriving.

Fair enough, too. They've probably got things to organise around your visit, and they want to know when to expect you.

But every one of those calls takes you away from the work you're doing.

One of the simplest ways to reduce these interruptions is to make sure customers have the information they need before they have to ask.

A booking confirmation with the date and expected arrival window, followed by a reminder the day before, can make a real difference.

And if your booking software can send those messages automatically, even better.

These are the little things I look for when working with service-based businesses. Where are the repeated questions coming from? What information is missing? And how can we build a simple process that makes things easier for both you and your customers?

Because when customers know what to expect, there's one less reason for them to pick up the phone.

I'm curious, do you get many calls from customers checking when you'll arrive, or have you already got a good system in place?

You finish a job, the customer is happy and they thank you for doing such a great job.

It's the perfect opportunity to ask for a Google review.

But then you're onto the next job, the phone rings or something else needs your attention. And another opportunity passes.

You already know how valuable Google reviews are. They help potential customers feel more confident about choosing your business, especially when they're comparing you with someone they've never used before.

The challenge is remembering to ask.

That's why I like building these little steps into the way a business already operates.

If you're marking a job as complete, sending an invoice or recording a payment, you've already got a natural point in the process to ask for a review.

Have your message written, your Google review link ready and a clear point in the process when it gets sent. One less thing to remember.

When I work with small business owners, these are exactly the kinds of opportunities I look for. We look at how things are being done, where opportunities are being missed and how to make those everyday tasks easier. A good process shouldn't rely on you remembering everything.

Every job might be different, but how much of your quoting process really needs to be?

Think about your last few quotes.

Chances are, you used the same payment terms, business details and standard wording. You probably even typed out some of the same information more than once.

And yet, somehow, you're starting from scratch again.

This is one of the things I look for when helping small business owners simplify how they work.

What stays the same? What changes? And what genuinely needs your personal attention?

Once you separate those three things, it becomes much easier to work out what can be automated, what can be templated and what should stay with you.

You still get to give every customer a thoughtful, personalised quote. You're simply spending less time on the parts that don't need rewriting.

Most business owners I talk to don’t have one enormous job swallowing up their week.

It’s all the little things.

Answering the same question again. Copying details from one place to another. Chasing information. Sending the same email. Looking for something you know you’ve already saved somewhere.

Five minutes here doesn’t feel like much. But when the same five-minute job happens three, five or ten times a week, that’s where your time starts disappearing.

One of the simplest things you can do is look back at yesterday and find something you did more than once.

Then ask a different question.

Instead of “How can I do this faster?”, ask “Why am I doing this again?”

Sometimes the answer is a template. Sometimes information needs to be captured once instead of twice. Sometimes a customer needs an answer earlier in the process.

And sometimes the task doesn’t need to exist at all.

This is the kind of work I help small business owners with. We look at how the work is actually getting done, find where things are getting stuck or repeated and work out what’s worth simplifying first.

Because getting time back usually starts with finding where it’s going.

More leads might not be the first thing your business needs.

If people are already enquiring, asking for prices or requesting quotes, your marketing has done its job. They’ve shown you they’re interested.

The question is what happens next.

Go back through your recent enquiries and follow them through. Did they get a reply? Did the quote go out? Was there any follow-up? Did they know what to do next?

You might find people getting surprisingly close to buying before they disappear.

That’s worth knowing before you put another dollar into getting more people through the door.

A customer shouldn’t have to wonder whether their payment disappeared into the internet.

They’ve handed over their money. At that point, even a short silence can create doubt.

Did the payment work? Was the booking received? Is someone going to contact me? What happens now?

None of those questions are difficult to answer.

A confirmation email, receipt or simple message telling them what happens next removes that uncertainty straight away.

It’s a small part of the buying process, but it changes how the whole business feels.

Go through your own customer process and look for the quiet spots after someone takes an action. Those are the places where a little reassurance can make a big difference.

The job you're about to automate might have a step in it that nobody's needed since 2019.

Automation gets sold as the quick fix for a messy job, and sometimes it is. But if the job is messy to begin with, automating it just means the mess runs faster and you stop noticing it.

So before you spend money on a new tool, do the job the way you normally would for one week. Watch where the time actually goes.

You might be typing the same details into two places. You might be waiting on a supplier or a customer before you can move. You might be doing a step that made sense years ago and nobody has asked for since.

Once you can see it, the fix is often smaller than you expected. Drop the step nobody needs and stop entering things twice. Then automate what's left, because now it's worth keeping.

I recently spent two days at Kew Gardens, and while the gardens themselves were extraordinary, the part I was most looking forward to was going behind the scenes.

I had the chance to visit Kew’s Ethnobotany Department and spend time looking closely at baskets and plant fibre objects from around the world. Some were familiar, others completely stopped me in my tracks.

There were beautiful examples of technique, materials and construction, but also stories about how these objects were used, made and preserved.

I’ve shared more from the visit, including plenty of photos and some of the pieces that stayed with me most.

I’m really looking forward to being part of this event and talking about AI in a way that makes sense for small business.

People are starting from very different places with this stuff. Some are already using it every day. Some have had a bit of a play. Some have opened ChatGPT, stared at the box and thought, “Right. Now what?”

All of those starting points are completely reasonable.

This session is really about helping people understand how the pieces fit together. What can AI actually help with? Where could it save you time? What could it take off your plate? And where is it probably better to leave things alone?

Whether you’re running a trade business, a café, a creative business, a shop, a service business or something else entirely, the useful question isn’t really “How much AI am I using?”

It’s “Where could this genuinely make running my business easier?”

That’s the conversation I’m looking forward to having.
