About Us
Toowoomba Specialists is a patient-centered medical practice dedicated to delivering compassionate, high-quality care. We are looking for a friendly, organised, and professional Medical Receptionist to start early January 2026.
Position Overview
In this front-office role, you will be the first point of contact for our patients, creating a welcoming experience while ensuring the smooth flow of daily clinic operations. You will manage appointments, coordinate communication between patients and providers, handle administrative tasks with accuracy, and maintain a calm, supportive presence in a fast-paced environment.
The ideal candidate is a strong communicator with excellent customer service skills, a keen eye for detail, and a genuine desire to help others. This position offers the opportunity to make a meaningful impact each day by supporting exceptional patient care.
Key Responsibilities
- Greet patients warmly and check them in/out efficiently
- Answer phone calls, respond to inquiries, and direct calls appropriately
- Schedule, confirm, and manage patient appointments
- Verify insurance information and process necessary paperwork
- Maintain accurate patient records in our electronic health systems
- Coordinate with medical staff to support daily clinic operations
- Maintain a clean and organised reception area
- Uphold confidentiality and comply with healthcare privacy regulations (HIPAA)
Required Qualifications
- Previous experience in a medical office or customer service role
- Strong communication and interpersonal skills
- Excellent organisational and multitasking abilities
- Professional, reliable, and compassionate demeanor
- Ability to handle sensitive patient situations with care and discretion
- Must possess valid Australian work rights
Preferred Qualifications (Not Essential)
- Experience with Clinic 2 Cloud
- Knowledge of medical terminology
