Patient Care Specialist Job Description
General Summary of the Purpose of the Position
This position is the first point of contact either in person or on the phone with patients and vendors. This employee is responsible for creating a positive first impression and providing a quality patient journey experience. This position supports the professionals by performing a variety of customer service, sales, marketing, operational and administrative functions.
Approach and Deployment (What to Do & How to Do It)
•Ensure that the Patient Experience is a positive one is top priority for this position.
•Acknowledge all guests that come in the office as soon as they enter. If on phone at the time, smile and nod. Collect pertinent information from patients.
•Answer phones in a timely manner within two rings.
•Use professional office greeting. Direct calls appropriately. Take and deliver messages.
3. Convert calls to appointments.
3.1 Schedule and confirm appointments.
•Be able to convert appointment inquiries to appointments 95% of the time
•Have a grasp of basic aspects of hearing profession
•Log appointment correctly using proper referral sources
•Enter daily activity correctly and completely into office management system.
•Check patients in and out. Track orders/sales. Maintain daily, weekly and monthly reports as directed by COO
•Answers emails and voice mails on same day of them being received providing that it’s a work day
•Provide basic and accurate information in person and via phone/email
•Receive, sort and distribute daily mail/deliveries
•Perform other clerical receptionist duties such as filing, photocopying, scanning, and faxing
•Prepare deposits
•Maintain and balance cash box weekly
•Protect Patients Privacy and collect insurance information.
•Complete recalls for periodic clean & check and annual exams within one week of being given list of necessary contacts
çFollow up on cancelled appointments within three days of cancellation with a goal of rescheduling 50% of the patients
•Set future appointments for 95% of patients that need a future appointment before patient leaves office

•Good computer skills
•Ability to organize and multitask between patients, phone and computer
•Good problem solving, analytical abilities, communication organizational and interpersonal skills required.
•Excellent speech clarity required
•Maintain safe and clean reception area 100% of the time
•Contributes to team effort by accomplishing related results as needed
