Job Description
The Client Service Coordinator / Administrative Assistant will work closely with the Client Service Manager in facilitating the business functions of Forging Forward Counselling Services in all office locations (Petawawa Ontario, Pembroke Ontario and Sydney Nova Scotia). This position requires the ability to work from our main office (Petawawa, Ontario) independently with regular communication with the Client Services Manager and Clinical Director/Owner.
Tasks
- Support the Client Service Team in business administration and client services including client intakes, scheduling, invoicing, and responding to client requests.
- Perform file audits, including financial audits.
- Monitor operational budgets, track expenses, and identify variances or financial concerns.
- Perform research related to grants/funding for mental health services and apply to programs when applicable.
- Develop and maintain social media platforms for practice site(s) including creating relevant content and advertisements on a regular basis.
- Update website content as required & design other marketing materials and / or advertisements.
- Perform research on local trends and needs related to mental health and develop reports and action plans for the Client Service Manager and Clinical Director.
- Perform administrative support tasks such as proofreading, transcribing handwritten information, and operating electronic media.
- Communicate effectively with colleagues and peers to provide updates on business operations.
- Process and prepare memos, correspondence, multi-media posts, or other documents.
- Transmit confidential information or documents using a secure electronic device, mail, or facsimile service.
- Participate in monthly team meetings and peer training as well as networking events when required.
Qualifications and requirements
- Post-secondary education in Social Services (SSW), Business Administration, or related/relevant field with background in marketing related to health care.
- Provide a clean, updated Vulnerable Sector Check.
- Clear understanding and demonstration of maintaining confidentiality.
- Understanding of office administration practices and processes.
- Ability to attend physical office location in Petawawa, ON.
- Certification in Mental Health First Aid would be considered an asset or willingness to obtain.
- Bilingualism would be considered an asset.

Working conditions
Casual position for 15 hours/week. Hours may vary based on need and availability.
In-office position, Petawawa Main Office, schedule to be determined.
This position will require the incumbent to manage their time and responsibilities independently with moderate supervision.
Compensation
The wage will start at $21.00 - $25.00 per hour, based on experience.
