β° Hours: 2 days per week (20 hours per week 8:00am β 6:00pm)

We are looking for two organised and enthusiastic Clinic Co-Ordinators to join our team. These roles will work collaboratively to oversee the daily operations of our Barnard Castle clinic and support scheduling and administration for our Stockton clinic, ensuring a smooth, efficient, and high-quality patient experience.
This position would suit individuals who enjoy working with people, are highly organised, and thrive in a busy healthcare environment.
Key Responsibilities
Clinic Operations
β Support the smooth day-to-day running of the Barnard Castle clinic.
β Assist with scheduling and administration for the Stockton clinic.
Appointment Management
β Schedule, confirm, and manage patient appointments.
β Maintain clinician diaries and optimise clinic utilisation.
Insurance & Referrals
β Process insurance claims and referral documentation.
β Liaise with ENT consultants, GPs, and other healthcare professionals.
Confidentiality & Data Protection
β Maintain accurate patient records.
β Ensure compliance with GDPR and confidentiality requirements.
Staff Co-ordination
β Assist with clinician scheduling and clinic planning.
β Support communication between team members across both clinic locations.
Administrative Duties
β Process invoices and payments.
β Manage clinic correspondence and documentation.
β Ensure records are accurate and up to date.
Customer Service
β Welcome patients and provide a professional, friendly experience.
β Handle patient enquiries in person, by telephone, and by email.
Marketing & Growth
β Assist with local marketing initiatives and patient outreach.
β Support social media engagement and community events.
Audiology Support
β Support audiologists during clinics.
β Full training will be provided to conduct basic hearing aid maintenance and repairs.
β Assist with hearing aid troubleshooting and patient support.
Travel Requirement
β Occasional travel to the Stockton clinic when required.
β A driving licence and access to a vehicle are desirable.
Essential Skills & Experience

Strong IT skills, including Microsoft Office, Google Workspace, email systems, and patient management software.

Excellent organisational skills with the ability to prioritise and multitask effectively.

β Previous experience in a healthcare or patient-facing environment.
β Experience in administration, reception, customer service, or office management.
β Experience using patient management software.
β Knowledge of hearing healthcare or audiology.
β Experience with marketing and social media.
β Supervisory or co-ordination experience.
