We have an exciting opportunity for an Administration and Finance Coordinator to join our supportive, friendly and caring team at our lovely clinic in Aslockton.

This unique role combines hands-on administration, finance and office management responsibilities, helping to ensure the smooth and efficient running of our clinic and wider organisation. We are looking for someone who is organised, proactive and warm, with excellent attention to detail and a passion for helping things run smoothly behind the scenes.

The Role

You will provide administrative, operational and finance support across the organisation, helping maintain efficient systems and processes and supporting the wider team in delivering excellent services to children and families.

You will be involved in a range of activities including:

Administration and Operational Support

Providing day-to-day administrative support across the organisation
Managing diaries, meetings and appointments
Supporting room bookings and clinic organisation
Monitoring and responding to emails and communications
Maintaining accurate records, databases and filing systems
Assisting with policies, procedures and organisational documentation
Supporting wider business projects and service development activities
Coordinating actions and following up tasks to ensure work progresses smoothly
Finance Responsibilities

Supporting financial administration processes including invoicing and payment monitoring
Preparing and issuing quotations for therapy services, assessments, training and bespoke packages
Raising invoices accurately and within agreed timescales
Tracking payments and supporting debtor management processes
Supporting payroll administration and expense processes
Preparing financial summaries and reports
Liaising with accountants and external providers where required
Maintaining accurate and confidential financial records
Preparing quotes
Managing billing processes
Tracking budgets or financial data
Liaising with departments or suppliers
Office and Clinic Support

Supporting the day-to-day running of our busy clinic environment
Ensuring office systems and processes run efficiently
Supporting stock management and ordering of supplies
Liaising with contractors and external services when required
Supporting a welcoming and organised environment for children, families and staff
About You

We are looking for someone who:

Essential Skills and Experience

Previous experience within administration, office coordination or finance support roles
Strong IT skills including Microsoft Office (Word, Excel, Outlook and Teams)
Excellent organisational and time management skills
Strong written and verbal communication skills
Experience managing multiple tasks and priorities
Desirable Skills and Experience

Experience using systems such as Xero or practice management software
Experience working within healthcare, education or therapy services
Knowledge or understanding of SEND and neurodivergent children and young people
Bookkeeping skills, knowledge and experience

🏖️ A Cool Beach Day… Indoors! ❄️🌊

It might be blazing outside, but our indoor beach stayed perfectly cool and refreshing; air‑con in every room means the sensory fun never stops! 🌬️😎

Today’s adventure took us across the stepping stones and onto the walrus as we worked on balance and postural control,
plus a beach‑ball rally that had everyone giggling and moving! 🏐

Our little beach explorers used their praxis skills to plan how they’d collect all the stars ⭐, and got sandy (tactile kinetic sand… not pictured but definitely enjoyed!).

The “beach hammock” brought gentle swinging and interoception moments — helping bodies tune in while still soaking up those beach vibes. 🌈🏝️

To wind down, we cozied up in our barrel with a blanket, a calm, contained space, where gentle rocking and foot squeezes helped everyone drift into a peaceful, regulated state. 💙🌊

From big movements to quiet moments, our cool indoor beach delivered sunshine, smiles, and sensory magic. 🌟

🦒🦍 Animal Rescue Mission in Occupational Therapy 🦄🐢

A simple animal rescue activity can reveal a huge amount about how a child experiences and interacts with the world.

In this setup, favourite animals were attached to the swings using large pipe cleaners, creating an invitation to embark on a rescue mission. Whilst highly motivating for many children, activities such as this also provide valuable opportunities for observation and assessment.

As children reach, grasp, twist, pull and free the animals, therapists can observe fine motor manipulation, hand strength, bilateral coordination, motor planning, problem-solving skills and persistence. The activity can also provide insight into attention, motivation, flexibility of thinking and how a child responds when faced with challenge.

The rescue mission was embedded within a sensory-rich environment designed to support exploration and regulation. The hammock swing and platform swing offered opportunities for linear vestibular input, which many children find calming and organising. The walrus crash mat provided opportunities for proprioceptive input through climbing, jumping, pushing and whole-body movement, while tactile elements around the room encouraged sensory exploration.

Importantly, the goal is not simply to rescue the animals. It is to observe which sensory experiences the child seeks, avoids or repeatedly returns to. These patterns can provide valuable clues about what supports regulation, attention, engagement and participation in everyday life.

Through play, children often show us far more than they can tell us.
