Protecting Privacy - Shared Responsibility

We want everyone who visits our surgery to feel comfortable, respected, and to have their privacy protected. As our reception desk is in a busy public space this can sometimes be challenging, so we really need your help.

Please respect each other by waiting behind the black and yellow line until you are invited forward by a member of our reception team. This helps give the person at the desk the space and privacy they need.

If the line is not observed, our reception team may ask you to take a step back until you are invited forward.

This also applies if our receptionist is on the phone or appears to be available. They will often be dealing with confidential patient information.

We understand this isn't always something people naturally think about so we're sharing this as a gentle reminder for your next visit.

To help our clinicians spend more time focusing on patients and less time typing notes, we are now using Surgery Intellect, an AI-powered note taking tool provided by the same company as our telephone system, Surgery Connect.

🔵What is Surgery Intellect?

Surgery Intellect uses ambient voice technology to help clinicians document consultations. During your appointment, it picks up on the conversation and creates a summary of the relevant clinical information discussed.

This allows your clinician to focus more on listening to you and less on making notes during the consultation.

🔵How does it work?

The system uses artificial intelligence (AI) to produce draft consultation notes and, where appropriate, clinic letters. It focuses on the information relevant to your care.

Your clinician always reviews and approves any notes before they are added to your medical record. The technology supports your clinician - it does not replace their judgement.

🔵How does this benefit patients?

Using Surgery Intellect helps us to:

- Give clinicians more time to focus on you during your appointment.
- Improve the accuracy and consistency of consultation notes.
- Reduce administrative work, allowing clinicians to spend more time on patient care.
- Produce referral letters and other documentation more efficiently where needed.

🔵Is my information safe?

Protecting your privacy is extremely important to us.

- Surgery Intellect complies with UK data protection requirements, including GDPR.
- Audio recordings are not stored.
- Your information is never used to train AI models.
- Only authorised healthcare professionals involved in your care can access your medical records.
- The system has been reviewed to ensure it meets NHS and information governance standards.

🔵Can I choose not to use it?

Yes. If you would prefer Surgery Intellect not to be used during your consultation, simply let your clinician know. This will not affect your care, and notes will be taken in the usual way.

❓Frequently Asked Questions

- Is my appointment being recorded?
No. Surgery Intellect does not store audio recordings. It creates a written transcript and clinical summary to assist with note taking.

- Will my appointment be different?
No. Your consultation will take place as normal. The technology simply helps your clinician document the discussion more efficiently.

- Can Surgery Intellect be used for telephone appointments?
Yes. It can be used for both face to face and telephone consultations.

- Can I see my consultation notes?
You may be able to view consultation notes through the NHS App, depending on the level of record access available to you.

With the hot weather continuing, it's important to know how to stay safe and recognise the signs of heat-related illness.

🔺Important update for those attending appointments at Siam Surgery this week:

Our cooling system is still only working intermittently. It was on for most of yesterday (Tues 23rd) which made things manageable, but it is currently off and we are waiting for an engineer to get it started again.

🏡If you are managing to stay cool at home and would rather not attend your appointment in person, please contact our reception team (01787 322420 or [email protected]) to see if your appointment could be dealt with over the telephone.

💧We don't have a water dispenser in our waiting room so we are more than happy for you to speak to reception, or knock on an office door (not consulting rooms please), and we can grab you a cup of cool water whilst you wait.

☀️ Stay Safe During the Hot Weather ☀️

With temperatures increasing this week, it's important to take extra care to protect yourself and those who may be more vulnerable to the effects of hot weather, including older adults, young children, pregnant women, and people with long term health conditions.

Some simple ways to stay safe include:

💧 Drink plenty of fluids and avoid excess alcohol.
🏠 Keep your home as cool as possible by closing curtains or blinds in sunny rooms.
🌳 Avoid spending long periods in direct sunlight, particularly between 11am and 3pm.
👒 Wear loose-fitting clothing, a hat, and sunscreen when outdoors.
👵 Check in on elderly relatives, neighbours, and anyone who may need extra support during the heat.

If you feel unwell, develop symptoms of heat exhaustion, or are concerned about someone else's wellbeing, seek advice promptly.

☀️Temperatures Inside the Surgery☀️

Please be aware that there is a fault in our air cooling system so it is only working intermittently at the moment. This is being treated as a matter of urgency and engineers are working to resolve the issue as quickly as possible.

In the meantime, we are doing everything we can to keep temperatures down inside the surgery and maintain a comfortable environment for both our patients and staff.

To help us manage the situation, we kindly ask that you:

• Arrive no more than 5 minutes before your appointment time where possible, to help reduce the number of people in the waiting room.
• If you have a face to face appointment booked this week and feel that your consultation could be carried out by telephone, please contact reception and we will be happy to review and update your appointment where appropriate.

We would also ask for your patience and understanding with our team during this period. Our staff are working hard to continue providing the best possible care while also coping with the unusually warm conditions, and your support is greatly appreciated.

❗A yellow heat health alert has been issued from Thursday 28 May at 4pm until Saturday 30 May at 8pm❗

Those most at risk of long periods of high temperature include older people, young children, and people with existing health conditions.

Following some simple advice this Bank Holiday will help keep you and your loved ones safe:

💧 Stay hydrated – drink plenty of water throughout the day, even if you don’t feel thirsty
🧴 Protect your skin – use sunscreen, wear a hat, and seek shade during peak sun hours
🏠 Keep cool indoors – close curtains in sunny rooms and open windows when it’s cooler outside
🫶 Look out for others – check in on those most at risk
🚶 Plan ahead – avoid strenuous activity during the hottest part of the day
