Under direct supervision of the Executive Director & Program Director, the Onsite Project Manager will complete all duties as requested by the Executive Director & Program Director in response to contractual changes and requirements. Communicate the mission and vision of Capital Regions Care to consumers, families, Direct Service Workers and refer community Resources. Onsite Project Manager will be organized, personable, and a detail-oriented office coordinator for the organization. Coordinate various office tasks and functions to ensure office operations run smoothly at all times. Tasks include, but are not limited to, front desk management, answering phones, maintaining office supplies, and scheduling meetings and appointments.
Essential Duties and Responsibilities:
*Welcome clients and visitors to the office and assist them as needed
*Perform various clerical tasks as needed (file papers, organize supplies, etc.)
*Take meeting notes and transcribe into email, document or spreadsheet form
*Prepare and send faxes
*Answer phones and route calls to appropriate persons
*Take and deliver phone messages
*Manage, sort, and dispense incoming mail and faxes
*Prepare outgoing mail, faxes and packages
*Perform general bookkeeping duties
*Maintain staff and company calendars
*Set appointments, meetings, and conference calls
*Reserve conference spaces for meetings
*Notify and remind all parties of upcoming events, lunches, meetings etc.
*Plan out of town travel arrangements for executives
*Suggest changes to office task workflow in order to improve efficiency
*Maintain an organized work space at all times
*Clean and tidy public office spaces
*Frequently check office supply stock; reorder supplies when needed
*Track orders and maintain vendor relationships
*Attend company meetings and take notes, keep minutes, etc.
*Train and assign tasks to new office clerks or interns
*Report any updates or pertinent issues that need addressing to the office manager
*Uphold and carry out company office policies and procedures
*Check e-mail and mailbox daily
*File service logs daily for each service delivered, I.e. visit, phone call, written contacts; file in recipient record upon completion
*Complete closure forms and submit to supervisor within 5 business days of closing recipient case
*Send appointment notices to recipients/family and support coordinators for monthly meetings
*Monitor Electronic Visit verification (EVV) System to ensure support staff is in home at designated time and ALL documentation results match on service logs
*Monitor CLEARCARE System to ensure support staff is in home at designated time and ALL documentation results match on LaSRS Time entries.
*Enforce the policies in place with timesheet and progress note submission on Mondays.
*Organize PAYDAY FRIDAY'S and distribute paychecks to employees
*Maintain confidentiality of recipient and recipient records
*Use correct error correction procedures on all documentation
*Obtain ongoing checks to ensure driver’s license, automobile insurance and training information is current for ALL employee files.
*Attend mandatory weekly team meeting providing opportunities for problem-solving feedback and support to team
*Attend all regional meeting and attend state level meeting as requested
*Have knowledge of pertinent laws, codes and regulation for healthcare providers including client confidentiality, protecting the rights of the client, reporting of abuse, and principles of consent
*Computer function and programs such as Excel, Word, and Power Point etc.
