After a full day of insurance calls, I can confirm:

The question was asked.

An answer was given.

Whether the answer was to the question that was asked remains under review. 😑🥴

Healthcare is one of the few places where everyone involved can be doing their job…

The patient followed the instructions.
The provider sent the documentation.
The office submitted the request.

And somehow everyone is still waiting. 😑

Healthcare really knows how to bring people together. 🫶🏼

✉️ A denial letter tells you what the insurance company decided.

It doesn’t necessarily tell you what to say back.

That’s where a lot of people get stuck.

They know they disagree with the decision. They may even have medical records supporting the care. But turning all of that into a clear, organized response?

That’s a different task.

A strong response should make it easy to understand:

• What decision is being challenged
• Why the requested care is medically necessary
• What supporting information matters
• What you’re asking the plan to reconsider

You don’t need fancy language. You need a clear argument supported by the right information.

And sometimes, having the right framework makes getting started a whole lot easier. 💙

Right to Care Solutions offers letter templates and self-guided resources for people who want help putting that response together.

A healthcare appointment can be 20 minutes.

Getting ready for it can take two hours.

Finding the paperwork.
Updating the medication list.
Remembering what changed since the last visit.
Writing down questions.
Finding the insurance card you put somewhere “safe.” 😑

The appointment is only one part of managing healthcare.

The work around it counts too. 💙

Healthcare really said,
“Please advocate for yourself.”

Also healthcare:
“Please hold while we transfer you to someone who will transfer you back to us.” 🥴

A little Friday reminder:

Asking questions about your healthcare doesn’t make you difficult.

Asking why something was denied doesn’t make you difficult.

Asking your provider to explain something again doesn’t make you difficult.

Asking what your options are doesn’t make you difficult.

It means you’re participating in your care. 💙

You deserve to understand the decisions being made about your health.

Every family seems to have one. 😂

The person everyone calls when they need to know:

“Who was Mom’s specialist again?”

“What medication did they change?”

“Do you remember when that appointment was?”

“Where’s the insurance card?”

And somehow... that person knows. 😅

If you’re the unofficial healthcare information keeper in your family, this post is for you.

It’s a role nobody applies for, but so many people quietly take on because they love the people around them. 💙

Are you THAT person in your family? 👇🏾

Sometimes the most useful denial data is hiding in the approvals. 👀

Providers naturally pay attention to the cases that get denied.

But there’s also something worth studying in the cases that get approved without a fight.

What was different?

Was the treatment history clearer?
Was the functional impact documented more specifically?
Were payer criteria addressed upfront?
Was supporting documentation submitted the first time?
Did one location, service, or payer consistently move faster than another?

Looking at approvals alongside denials can reveal patterns that individual cases don’t.

And those patterns can help practices identify what’s working, strengthen workflows, and potentially prevent avoidable back-and-forth on future requests.

Utilization management shouldn’t only be about fixing what went wrong. It should also help identify what’s already going right.

For healthcare teams: Do you review your approval patterns as closely as your denials?

Patient advocates, does your system still work as your caseload grows?

Clients. Cases. Follow-ups. Deadlines. Contacts. Notes. Next steps.

It’s a lot to keep track of, especially when the priority should be advocating for clients, not searching through spreadsheets and scattered notes.

Meet the Patient Advocate Client & Case Management Dashboard from Right to Care Solutions.

Designed specifically with patient advocacy workflows in mind, this dashboard helps bring client and case management into one organized system so important details are easier to track and follow.

Less time piecing information together.
More visibility into what needs attention next.
More structure as your advocacy work grows.

Because helping people is the mission. Managing the work shouldn’t become the obstacle.
