In today's world, this means embracing technology, leveraging AI, building systems, creating boundaries, and delegating where it makes sense.

AI has changed the way we work, and that's a good thing. We use it ourselves. It helps us move faster, streamline processes, and eliminate repetitive tasks.

But growing a business still requires human judgment, leadership, relationship-building, and operational expertise.

The goal isn't to replace people.
The goal is to empower people to focus on what they do best.

That's how sustainable growth happens.

One of the biggest mistakes I see in private practices? Giving up after the first email.

I get it.

Following up can feel uncomfortable.

You start wondering…
Am I being too pushy?
If they wanted therapy, they would’ve replied by now.

But here’s how we look at it at The Mental Health VA:

Follow-up isn’t about convincing someone to say yes.
It’s about making sure someone who wants help doesn’t slip through the cracks because life got in the way.

People get busy.
They get overwhelmed.
They forget to reply.

After supporting mental health practices for more than 8 years, I’ve noticed a pattern:

Many practice owners are incredibly skilled clinicians, but they spend far too much time doing work that doesn’t require their clinical expertise.

The result? Long hours, missed breaks, difficulty taking time off, and a practice that depends on them for everything.

I believe therapists should spend more time doing what they do best: supporting clients.

The administrative work, systems, communication, scheduling, and operational tasks matter too, but they don’t all have to live on your plate.

Many practice owners don’t wear all the hats because they want to.

They wear all the hats because they’re capable.

The problem is that being capable and being responsible for everything are two very different things.

Over time, “I’ll just do it myself” turns into answering calls between sessions, handling scheduling issues after hours, managing marketing, troubleshooting problems, and trying to be fully present for clients at the same time.

The result? Exhaustion, bottlenecks, and a practice that depends on you for every decision.

If you catch yourself saying, “It’s faster if I just do it myself,” pause and ask:

👉 Is this something that truly requires my expertise as a therapist?

If the answer is no, it may be time to create a system, delegate it, or get support.

Your time is better spent where you create the most impact.
