Office hours are:
Tuesdays 9am-3pm
Thursdays noon-6pm
Occasional extra hours for events
Beginning pay is $15/hour.
Office Administrator (O.A.) - Job Description. This position can be fast-paced.
Daily Duties
• At opening, ensure each room is ready for the day (lights, tidiness, temperature, supplies).
• Check phone messages and return calls as needed.
• Set soft background music in the office.
• Review the day's scheduled appointments and prepare accordingly (e.g., set up for pregnancy tests).
• Warmly greet clients, donors, and guests; offer water/seating and notify staff of arrivals.
• Send out and check client paperwork status intake and status and assist with sign-in as needed; collect ID for new clients.
• Engage guests in conversation while they wait for staff, when appropriate.
• Assist with translation for staff/volunteers if bilingual.
• Coordinate volunteer arrivals and direct them to the day's priority tasks.
• Receive and process donations (provide receipt, log in system, and store appropriately).
• Answer phones and text requests, completing tasks such as scheduling or supply needs.
• Close the office at day's end: trash, light cleaning, lock up, set alarms/lights, and secure equipment.
Ongoing Responsibilities include
• Leading in Bible studies and prayer
• Maintain and order office and cleaning supplies as needed.
• Track boutique inventory using the inventory control system, with volunteer support.
• Manage volunteer scheduling, needs, and hour documentation.
• Communicate boutique/supply needs to donors, marketing, and vendors; place orders as needed.
• Maintain the wall calendar.
• Replace batteries in security cameras, locks, and clocks.
• Keep the kitchen clean and the dishes put away.
• Manage larger equipment inventory (playpens, strollers, etc.).
• Coordinate diaper inventory, ordering, and pickup with partner organizations.
• Perform duties requiring ladder/step-stool use as needed.
• Support center-produced events with guest management, logistics, printing, and other needs.
• Kindly redirect unacceptable donations to appropriate organizations.
• Manage the Baby Bottle Boomerang fundraiser logistics (distribution, return, follow-up).
• Run occasional off-site errands (pickups, bank runs, event attendance).
• Write weekly thank-you notes and prayer cards.
• Maintain accurate contact records in Mailchimp.
• Distribute the quarterly newsletter via Mailchimp.
• Coordinate quarterly Coffee Hour preparations (deep clean, gift bags, supplies).
• Complete assigned trainings related to this organization and clients we serve.
• Provide general support to the Executive Director and Client Services Director as needed.
