Just wanted to make a post with a reminder of my cancellation/no-show policy. I really hate implementing it and I hate enforcing it even more. Every client gets a one time pass.
Please know that I keep my schedule light. This is so I’m fully present for each and every session but this means I only see about four people a day. When someone doesn’t show up for their appointment or cancels it last minute even when they reschedule, it affects my income. With a last-minute cancellation it’s hard to fill that spot and then even if the appointment is rescheduled it then takes a future timeslot.
Usually, when this happens, I have a conversation and let it slide so that my clients are fully aware of why I have a cancellation policy. I have not had to enforce it yet, but in the last few months I’ve had about two months rent worth of cancellations.
If keeping appointments is hard, I always reserve one hour a day for last-minute appointments for those that cannot schedule ahead or need to be seen quick. So I can almost always get my clients in within a day or two and worst case scenario within a week. Those might be better suited for people that have busy unpredictable schedules.
Time is the most valuable thing we all have and as much as I respect yours, I hope that you can also respect mine 🙏🏽
If an appointment needs to be canceled or rescheduled, I do ask for 24 hours notice but 48 is great. That gives me time to fill the slot if not full payment of the missed appointment is expected. Like I said, I hate enforcing it and I haven’t had to yet, but it’s becoming an issue financially so gently, and kindly I ask for some grace with this.
Emergencies and sickness are exceptions to this as always.
